Picklist Graphing

Graphing data collected using the picklist data type is now available. When graphing picklist data, each picklist value will have its own color-coded line on the graph. The Y-axis will be a percentage showing the percentage of each picklist values selection.

Global Schedule Views

Practice Admins can now create Schedule Views that can be assigned to all or selected users. To do so:

  • Click Settings > Practice Admin Tab
  • Click Create Schedule Views button:
  • Create the Schedule View .
  • Click the Schedule Manage button to assign it to the appropriate staff members. Any Staff Members you select here will be able to see the Schedule View.

Weekly/Monthly Authorization Feature

TotalABA now can now track authorizations on a weekly or monthly basis. This can be used if the payer puts weekly or monthly restrictions on their authorizations. For example, a 3 month authorization is received where they are authorizing 500 units per month. Please see the below video for details and instructions on how to use this new feature:

Send Therapist as Billing Provider

Certain payers are now requiring that RBT’s be sent on the insurance claim as the Billing Provider when they render the services. This new feature streamlines the workflow of this scenario by automatically sending the Session Therapist as the Billing Provider to the billing system.

For this to occur, you first need to edit the Funding Source and check the Therapist is Billing Provider checkbox.

Then you also need to have an Authorization selected for that Funding Source. Or the Funding Source needs to be selected on the Session.

Thereafter, the system will send the Therapist selected on the Session as the Billing Provider, instead of the actual Billing Provider on the Session. This will only occur if the Therapist is setup as a Billing Provider on their Staff Member profile. Otherwise, it will send the actual Billing Provider.

Please note that your billing system will need a corresponding and matching billing provider setup.

Authorization Billing Hold Feature

A new feature has been added to TotalABA that allows you to hold Sessions from being sent as Superbills to the billing system. A new checkbox has been added to the Authorization screen named Billing Hold. When this is checked, all Sessions associated to this authorization will not be sent to the billing system when signed. Instead they will be held. To remove them from being on hold, and send them to the billing system, you can simply edit the Authorization and uncheck the Billing Hold checkbox. Once saved, all Superbills that were previously held, will be sent at that point.

One use case for this feature would be if services are rendered while waiting for an authorization to be provided by the payer. In this example, the Authorization would be created as usual. The Authorization # field could be left blank, being that one has not yet been received. The Billing Hold checkbox would be checked. All Sessions created during the time when the Billing Hold checkbox is checked will not be sent to the billing system. Once the Authorization # is received, the Authorization could be edited, the Authorization # entered and the Billing Hold checkbox unchecked. Upon Save, the help superbills will be sent.

New Session Combination Setting

A new setting can be found under Settings > Practice Admin named Ignore Auth # when Combining Sessions.

Currently, Sessions combine into one superbill when the following criteria matches:

  • Patient
  • Date of service
  • Billing Provider
  • Location
  • Diagnosis Code 1
  • Funding Type
  • Contract (or both be null)
  • Authorization #

Setting this setting will ignore the Authorization # option above and combine sessions even if the Authorization #’s are different. If this occurs, it will not send an Authorization # on the Superbill to the billing system.

Inactive Lesson Plans No Longer appear in Treatment Goal Selection

Inactive Lesson Plans will no longer appear when selecting Lesson Plans on the Treatment Goal section of the Treatment Plan.

Authorization Procedure and Multi-Lesson

Prior to this release, Sessions created by using the Multi-Lesson button on the schedule did not inherit the Procedure code from the Authorization. This functionality has been added in this release. Please note that the duration and billing units will not calculate until the Session is edited.

New Multi-Lesson Settings

Two new settings have been added to the Multi-Lesson Screen:

Show Lesson Instructions Column

Shows the Lesson Instructions section from the Lesson Plan/Treatment Goal as a column in the data collection area.


Show Goal Details Column

Shows the Goal Details section from the Lesson Plan/Treatment Goal as a column in the data collection area.

 

Please note that enabling these columns may cause too much information to be displayed in the lesson collection area. Remove unused columns for a cleaner look.

Payroll Feature Enhancements

The TotalABA Beta Payroll feature was released in the last update. Several enhancements and bug fixes were added in this release.

These include:

  • The ability to create a Session while clocking in.
  • A setting that requires Timesheet approval submission.
  • Added a Submit to approval button to the Timesheet.
  • Several other behind the scene enhancements.

Performance Enhancements

New features were released that optimize processes which will help with speed and performance of TotalABA.
