Deactivating a User with Open Sessions

To deactivate a user, simply open the user record, uncheck the Active field and save the record.

Users are found under Setup (top-right corner) > Manage Users > Users.

Deactivating a user in TotalABA results in the following:

  • The user can no longer login to TotalABA.
  • A license is available for a new user.
  • The user can no longer be assigned to appointments, sessions, etc.
  • The corresponding staff member record is deactivated.


If you have open sessions where the user is listed as the therapist, you'll want to make sure the staff member profile is active.


Staff Members can be found under your tabs (+) Staff Members

Activating the Staff Member record will result in the following:

  • It will allow you to see their scheduled appointments.  
  • It  will allow you to sign off on pending sessions for billing.

When all sessions have been completed for that staff, you can deactivate the staff member profile.  That will remove them from the scheduler.

Note: You can also uncheck the box for "Allow User to be Scheduled" on their User profile under TotalABA settings, if you wish to remove them from the scheduler without having to deactivate their staff member profile.
