Welcome to the TotalABA training page. These videos and documents will allow you to learn the TotalABA system at your own pace. The videos are listed in a chronological order but can be viewed as you choose.

Implementation Part 1
Watch video - TotalABA Introduction
Using TotalABA -This document explains how to navigate around the TotalABA application.
Watch video - Locations Setup, locations are required in order to schedule appointments. Create records for each location where appointments may be scheduled. If you conduct home visits, it is best to create a generic location for “Home” as opposed to setting up a location for every student in the system.
Watch video - Appointment Types. Appointment types are used during the appointment creation process and are required for scheduling. Appointment types allow you to categorize your appointments, as well as color code them. They also help streamline the creation of appointments. Some examples of appointment types are “ABA Therapy”, “Supervision”, “Staff Meeting” and “Staff Member Unavailable”.
Watch video - Student Registration. The Student Registration video shows the process of entering a student record into TotalABA. A student must be entered into the system before any scheduling, billing or documentation can be done.
Watch video - Contract and Funding source. A funding source is the entity that will be paying for a student’s therapy. For example, it may be insurance, an educational institution, regional center, private pay or other. Your system comes with private pay already created as a funding source. Any other funding sources for your center should be created in this step. Funding sources will be associated to the students using the contract record during student registration.
Watch Video - The Authorizations video will instruct you on how to create and track insurance authorizations provided by the insurance company. This feature allows you to see how many visits, time, etc. a student has left until their authorization expired.
The second purpose is to record an authorization number that will be sent across to the billing system after a session has been signed-off for billing and will be part of the resulting claim.
Watch video - Scheduling Overview. The TotalABA scheduling system is designed specifically around the ABA and therapy world. It allows you to track appointments by student or by therapist. Our unique “schedule views” functionality allows you to filter the schedule by therapist, credentials, locations and more. Since it is web-based and mobile, you will have access to your appointment schedule any time, any place and on any platform.
Watch video - Scheduling training. This scheduling video contains instructions on how to use the calendar in TotalABA. This includes creating and editing appointments for students as well as creating non-student appointments.
Watch Video - Schedule settings. This video will walk you through some of the basic settings that can be customized on the calendar and appointments for your user account.
Implementation Part 2

This video will walk you through some of the practice wide customization settings within TotalABA. These settings apply to all users in your organization.
Watch video - User Settings.
Users are able to update their own personal settings in TotalABA including those related to the schedule, sessions and lessons. This enables each user to setup the application to work best for them. This video will walk you through some of the user specific settings within TotalABA.
Student Level Security & Setup Guide - TotalABA supports restricted user access for appointments, students and their related records. Watch video - Sessions.
The Sessions video will instruct you on the creation of sessions as well as the session workflow. The session is the main billing and documentation piece in the TotalABA software.

In this video you will learn various session workflows that could be optionally employed by your center in order to stream line the process of session reviewing and sign-off.

Session approval is an optional feature that allows your Therapist or the Student representative to approve the session with a digital signature.
Session sign-off is the actual process of signing and closing out a session note.
Watch video - Assessment & Treatment Plan.
The assessment record allows your practice to document an evaluation of the student’s current skill level. When an assessment is initially created, the type of assessment must be selected. The options are Initial Assessment and Reassessment. The reassessment contains additional fields that are not available on the initial assessment.
The assessment may be created from the Student or an existing Session. If it is created from a Session, it will be linked to both that session and student records.

Reports allow the practice to analyze the data stored within TotalABA. Many commonly requested reports have already been created by TotalABA. Essentially, if the data is available in TotalABA, it may be used in a report.
Before building your report, consider writing down each of the questions your report must answer. This way, your report is sure to return all the data you need.
