Session Amendments

TotalABA has released a new Session Amendments feature that will allow specific users to make corrections to signed Sessions. No longer will Session Change Forms need to be submitted in order to make these corrections!

The Amend Sessions permission set must be assigned to users that need the ability to perform this action.

To amend a Session press the Amend button as the top of the signed Session. Make the appropriate changes on the next screen and save. It is IMPORTANT to note that the Session Amend feature does NOT perform the automatic calculations for Billable Minutes, Units, Duration, etc. Therefore, if you need to make a change to something that affects these fields, they need to be manually updated. For example, if you update the Time Out on a Session, it will not recalculate the Billable Minutes, Procedure Units and Duration. You will need to update all of these fields manually.

Also note that amending a Session does not update the Superbill or re-send any of the billing information to the billing system. If you wish for the Superbill to match, you will need to edit the superbill and make the updates. Also, you should inform your biller if you made any changes that may affect billing.

All Session amendments are now tracked in the new Amendments section on the Session.

Parent Portal

The TotalABA Parent Portal is now available! The Parent Portal allows you to share information and communicate with parents in a HIPAA compliant manner.

Portal features include:

Behavior Tracking Module

TotalABA’s new Behavior Tracking module allows you to seamlessly record Behavior data. Collect ABC, Duration, Frequency, Rate and Interval data easily while performing your Session or input the data afterwards. You can view the results in ABC Data sheets, Interval Data sheets and in several graphical formats.

Additional Minutes field on Session

An optional new field has been added to the Session named Additional Minutes. This field allows you to add any additional minutes that you wish to add to the Billable Minutes that are not included between the Time in and Time Out. If you wish to use this field, you must enable the “Show Additional Minutes” setting found in Settings > Practice Admin Settings.

To use this field, add the number of additional minutes to the field. The system will recalculate the Billable minutes and units on the procedure accordingly.

TotalABA Internal Messaging

A new messaging feature has been added to the Home Page of TotalABA. This feature will allow you to send and receive HIPAA compliant, thread based messaged to and from your staff or to your Parent Portal users.

Behavior Enhancements Since Beta

  • The ability to select a Collection Type on the Behavior Target. This behavior will only show in the associated collection type window for appropriate student. 
  • The ability for the Trend line to “break” at a transition on the graphs. This means that it starts a new line on the graph after the transition. This is done by making a selection in the “Break Data Line on” field on the Student Therapy note 
  • Default Record Data check box on Behavior Target. This will ensure that the Record Data checkbox is always checked, thus recording zero observations.
  • Trend Line option added to Behavior graphs.
  • Added the ability to adjust interval time on the Interval data screen.
  • Added the ability to add maximum time on Interval data screen. 

Make Assigned To the Default Billing Provider Options

New Practice Admin Setting: Make Assigned To the Default Billing Provider Options

This is used if you wish to make the Assigned to on the Appointment the Billing Provider on the Session. The options are:

  • None – Disables the feature
  • Always – Always sets Billing Provider on the Session from the Assigned to on the Appointment if the Assigned to is a Billing Provider.
  • If No Other Default – Sets the Billing Provider on the Session from the Assigned to on the Appointment if the Assigned to is a Billing Provider and there is no other default already setting the Billing Provider on the Session.
